One of the many (?) benefits of maintaining a FAQ site (and doing everything manually as I do) is that you have at least a vague memory of things you've added and so when faced with a problem yourself you know roughly where (in that site) to look and/or with what Search criteria.

Add to that answering the odd newsgroup question and occasionally you find that problems at work just fall away.

I discovered for instance yesterday that a test site was completely out of space on C: Amazingly you could still access the site but you couldn't exactly do much ! Even more amazingly - as this is supposed to be a test site for several people - no-one had reported this (and the last 1KB log file went to the site in late August!).

The first step was of course to see if the obvious culprits (log files) were at work. But I'd cleverly (!) reduced those in scope so they were fairly small and while both sets had of course eaten up what little disk space that was left, they weren't the problem.

No, the problem - naturally - was the fact that as this was a quick "do this as quickly as you can and then vanish" test installation, I'd used the Basic installation - or in other words it was using the "Windows Internal Database" and that naturally enough was on C: and storing all its data on C: Meanwhile I had an empty (yes, virtually completely empty) E: drive because I was using a standard VMset-up of C: and E: (D: being the CD/DVD drive).

One look at that and I could see that the main problem wasn't even with the content databases (less than 1GB) but with the config databases (getting on for 3GB.

So - and here's where the experience comes in - as I knew that there was a FAQ item on moving the databases of the "embedded SQL Server 2005 Express" (the old name of what is now "Windows Internal Database"), all I needed to do was open the WSS v3 FAQ and Search on "embedded" and there was the solution. (Also found by looking at all the items starting with "Databases: " in section III Administration of the (note carefully) "WSS v3 FAQ" not the "WSS FAQ" which is v2 ...)

Well, actually, two solutions because there was the main text of the item (from Jim Sykora) and also a blog item from Ian Morrish.

I actually used the blog item because the statements you needed to use in the Command Line were clearer there and I did eventually get them to work but only after also interspersing with a bit of the information from the Jim Sykora piece with those commands (and also correcting a couple of spelling errors in them).

So, for instance, whereas I managed to detach; copy and then attach my content databases by just stopping the content database in the UI; and then stopping all the four running WSS services, this didn't work for the largest of the content databases (over 2GB) as that said it was in use.

It turns out that Ian makes a few assumptions about your knowledge (he didn't say to stop the WSS services either as far as I can remember) whereas Jim doesn't.

Jim clearly says to stop IIS (which in turn stops a couple more things and it's a good idea to write down what those are before you say OK) before doing the detach and that indeed was all that I was missing when trying to detatch the config databases (there being no "Stop Config Database" available in the UI.

So there you are. Spend inummerable hours of your own time updating a FAQ site and occasionally you save a bit of "work" time. Is that a bargain or not ? For your employer it certainly is!


P.S. I suppose I'd better say where the WSS FAQ site is - www.wssfaq.com (what else!?)

People who have ever used Firefox to go to the site behind www.wssfaq.com will have noticed I'm sure that the top page looks a mess with a very wide empty space between the left hand column (Quick Launch) and the first column with web parts

It was caused almost at the start by me amending the page in FP 2003 and testing it in IE6 only (and naturally not taking copies often enough). I made numerous attempts to get rid of that empty space and never suceeded.

Today (and I've ony been using this for 4 months or so ...) I noticed that Safari in the Mac didn't have that ugly amount of empty space. In fact the page looks just like it does in IE.

So I hereby declare my page to be conform and Firefox to have a bug !

P.S. As a result of a suggestion in the Comments, I got rid of the problem so you oughtn't to see this any more. Curiously amending something from =89% to =100% didn't solve it (and that was what I had probably tried many times before) but removing that width statement altogether did.

Last week was a good week mostly.

I was renewed as a SharePoint MVP.

That makes this (2007-2008) the sixth year, which sounds a lot until you heard that another SharePoint MVP - Michael Greth of Berlin - is now in his tenth year as an MVP.

How's that possible you may ask given that the SharePoint products first came out in 2001 ? Well Michael started as MVP for FrontPage which has been going for a bit longer (until it's life - or rather then name - was cut short at the beginning of this year).

Michael was one of the people behind the European SharePoint Conference which was held in Berlin in February earlier this year. Despite being heavily involved with the preparations of that, he still found time to buy and send me a week's travel card for the Berlin transport system so that I was able to get off my plane and jump right onto the right bus (he told me that too) that took me directly to the hotel. Nice guy !

Another good thing was that my Vista-based portable suddenly started recognizing my Apple AirPort Extreme Base Station so I no longer need to have both my old DLink wireless router and the Extreme Base station in order to use both the Vista and the MacBook remotely. So that's one small box; ethernet cable and power supply less on my desk.

Of course I still don't get anything more than the standard wireless speed from the Vista when connected directly to this, so the MacBook is still way faster, but at least it works. I have no idea whether this was caused by a Vista fix or a Extreme Base Station fix by the way - or even when this fix was downloaded. All I know is that I had forgotten to put the DLink plug in when I turned the Vista machine on and suddenly noticed it had spotted the Apple station. I still didn't expect the login to work (I'd fiddled with this for hours when I got the Apple station) but I tried it anyway and success.

Actually come to think of it, I had a similar experience with my Archos Wifi IPod-like device a couple of weeks ago. Earlier that too wouldn't connect to the Apple Station but a couple of weeks ago I tried again and this time it did. At the time I thought it was because I was sure to usual Capitals for the letters in the code but now I imagine that in the meantime there'd been a fix to the Station that had cleared problems with both the Archos and the Vista machine.

And finally sales of the Real World SharePoint 2007 (Wrox) book seem (looking at the Amazon site) to be going fairly well and the reviews of it are very positive.

They are probably by people who skipped my (Introductory) Chapter One so I was glad to hear from a old friend that although my photograph on the cover was terrible (so what else is new?), he was finding the first chapter useful and wished he had read it a few months ago when he was introducing himself to the SharePoint platform.

So that's three good things. What was the bad one?

Well, I'd better apologise for even mentioning this as no doubt most readers of this blog are slaving away 5 days a week ... but I realised that last week was the first week since mid April that I had worked four days rather than three days or not at all. Boy did the working week seem long ...

(I'm semi-retired and work 60% of the time, but in the non-summer I work 4 days a week and get a few extra weeks holiday as a result - so taking those extra holiday weeks in April and September led to it being so long since I last finished  my working week on a Thursday. (In the summer I worked either 3 days a week or was on regular holiday.))

An "audience" was one of those SPS 2003 things I knew were in SPS 2003 and not in WSS (2.0) but that was about the extent of my knowledge. Well, that and the fact that you could use them to show different information to different people.

(I was WSS only and only needed to know what was only in SPS 2003 so I could ignore questions on them (newgroups) or pass them on to a colleague (conferences))

Now, in the v3 products, this (showing different information to different people) is automatic, isn't it, as people now see only what they are allowed to see, so I'll admit that I didn't see the point in having Audiences in MOSS 2007 any more, yet there they were.

This has niggled me for some time (as has the question of why do some people think that WSS 3.0 has audiences too [wrongly as it happens]) so I finally grabbed a pile of SharePoint v3 books and looked through the indexes.

I  found sections on audiences on both the MVP written "Beginning SharePoint xxx" books from Wrox and Göran Husman's Administration section comes out with a definite "Remember that Audience Groups are exclusive to MOSS" (followed by the fact that with WSS you could use "target filtering using SP Groups and security groups") and both that book and Amanda/Shane's define audiences in a Shared Services Administration site (=MOSS).

So that solved the "It's not in WSS 3.0 question?" (= it isn't) but it still didn't solve the "why on earth do we still have Audiences?" question which needed me to read on (in those same books).

It soon became very clear.

Whereas the new interface means that you only see what you are allowed to see (=security), Audiences mean that you see what you want to see (or at least what the SP admin thinks you want to see).

Let's take the sort of example they use in those two books. Sales.

You can specify that certain sites / doc libs / Link Libraries etc. can only be accessed by Sales people and then these sites/doc libs/Link libraries won't appear on the web pages of non-Sales people because they are not allowed to access them. (Security!)

However you might have things that you don't really care if non-Sales people see or not, but you don't think that they will be particularly interested in them. In this case the built-in security trimming isn't going to do the job for you and you need something more.

So you set up an Audience of Sales People and assign that Audience to those things that aren't by any means secret to Sales people only but which normally only Sales people will want to see. Now the Sales people's web pages will show those things but the web pages of non-Sales people won't.

So what's the difference ?

- If the non-Sales person hasn't got (security) access rights to something. he can't access it.

- If however the non-Sales person is excluded from having certain information presented to him on his web pages via Audiences, then he/she can still access that information provided he knows where it is. He/she is not blocked from seeing the information, it's just made more difficult.

So that's why Audiences are still there. They are if you like there so that users can avoid having too much Information available to them at first glance.

Of course the question remains that if they are so useful why can't we have them in WSS 3.0.

Well we can - in the words of fellow MVP Robert Bogue talking about IRunTimeFilter "the underlying technology works in WSS -- the implementation of IRunTimeFilter in MOSS is Audiences." - it's just that Microsoft provides the code in MOSS 2007 and you have to write it yourself in WSS 3.0.

In addition, as the quote above from the Göran Husman book makes clear, you can still have target filtering in WSS 3.0. Not so powerful maybe and not applicable everywhere, but still a solution to the same problem.

It's now over a week since the WSS FAQ's URL www.asaris.de/sites/walsh became wss.asaris.de/sites/walsh and site hits are still running at a fraction (40% on a good day) of what they were before the URL change so I thought I'd see what Google was giving for a simple WSS FAQ search (i.e. Typing WSS and FAQ in a simple search with no ").

Google was fine. It gave first the Collutions site (wss.collutions.com) which has had the same name for years and then the wss.asaris.de address.

So I thought I'd check www.live.com.

They still had www.asaris.de ....

So much for that. Google wins this comparison handsdown.

We are creatures of habit and it's really only by chance that I've recently discovered that I can save myself a lot of time and still get the same amount of MVP "work" done.

The first time savings was a big one. I've been using Outlook Express to handle the newsgroups as using any newsreader is a major time-saver compared to any use of the browser in particular because a newsreader keeps track of what messages you have read already.

There were two main problems with OE.

Firstly because I track newsgroups both at home (on at the time two machines) and at work (1) there was always the need to bring the second machine's OE to the same level as the first machine's OE. This was easy enough if I went straight home from work and immediately turned the home computer on but even only stopping off a the shops on the way home meant I had to either take the risk of marking messages as read that I hadn't in fact read OR re-reading more messages than I cared to read.

The second problem was that I read messages by thread and OE had this good feature that when you opened a newsgroup in it it would go straight to the earliest unread message BUT then had no feature to go to the next earliest unread message. So I would open .windowsservices; read the earliest unread message there; open .general; read the earliest unread message there and then repeat. Messy; took extra time (but less usually than finding that next unread message) and had the risk of me thinking I was in .windowsservices when I was actually in .general.

I'd tried Thunderbird but used it too in thread mode and had seen no advantages in it (and a couple of oddities) and so abandoned it again.

But then I got the MacBook and guess what OE doesn't work in the Mac. So Thunderbird again only this time (and don't ask me why) I started using it in message mode - in other words single messages are listed sorted according to the date with the latest at the end.

Suddenly I solved the above two problems. Once I'd found the first unread message, all the rest followed neatly directly after it and it was now simple t update the home machine - just mark all messages until the time 'd last looked at the newsgroup (often visible because of a reply from me). Simple.

So I started using Thunderbird everywhere .

However this thread was about time saving. There is a major time saving with only having to do down arrow to see the next message's opening (or complete) text. So my sessions take maybe 25-50% (nearer to the lower figure) of the time I used to take.

There is always a snag and in this case it's minor. Sometimes either people don't quote what they are replying to (or sometimes Thunderbird doesn't pick up the quote) and so without after all selecting thread mode (*for that message*) I can't see the context. The other even more minor snag is that if someone posts a message to two newsgroups *at once* (not as two separate messages) it appears in both my Thunderbird newsgroups as unread whereas in OE once I read it in one it is marked as read in the other one.

That's one time saving.

The other involves keeping track of the SP KB articles and the changes to them.

Because I'm far too curious for my own good I have printed copies of all the SP KB Articles I know about and every time there is a modification (ver 1.1 say) I compare that with the 1.0 version (and file that new version too).

Because printing from IE doesn't always work properly for A4, I print in Firefox and so far what I've done is keep track (when I add new or modified articles to the WSS FAQ sites) of articles I've not printed yet by listing them in the file I use to post the WSS FAQ additions and changes message/blog. Then I copy/paste them one by one to Firefox and print them out.

Today I realised (about time!) that all I needed to do was open in Firefox my Blog site and the latest WSS FAQ additions and comments Blog.

Now I just go down the list there of KB articles click enter; print; back browser; click next entry etc. Saves 50% of the time when printing and all the time taken to keep that separate list up-to-date.

Why didn't I think of that before ?

So there you are. It's worth having a look at your semi-manual methods now and again to see if - based on experience - there aren't better methods around.

When you buy an Apple "HiFi" loudspeaker (of the kind that came out last year and that you can put an IPod into but can also - as I mostly do - connect to the headphone plug of your HiFi amplifier) then you get a small unit that looks roughly like an IPod which which you remotely control basic functions of the Ipod that is stuck into the loudspeaker.

I use it mostly to control the volume of the speaker (as its much smaller and more responsive than the amplifier's remote control).

Apple have been "clever" and you can if you have a Mac also use the same control to control the volume of ITunes on the Mac. This sounds a useful function doesn't it?

As I discovered today when I was starting up a VM in Parallels that contained WSS 3.0 and WSS 3.0 versions of several of the WSS FAQ sites' Lists, this dual functionality isn't always a great feature.

I namely amended the volume of the loudspeaker just as the VM was opening and there was a dull click from the MacBook and an ominious message that Parallels was unable to open the VM. Luckily the VM opened after doing the re-boot of the Mac they suggested (and without the addition of a volume click from me) but my heart was in my hands for a short while.

Sometimes Apple just go one step too far. (I'd like a right click on this keyboard too as the method you can use in OsX (Ctrl-Click) doesn't work in a Windows 2003 VM so you need to use one of you USB ports to add an external *proper* mouse.)
